POSITION: Receptionist/Office Assistant

DEPARTMENT: Executive Administration

REPORTS TO: Executive Assistant

FLSA STATUS: 8:30 am - 5:00 pm.

SMG, the leader in privately managed public assembly facilities has an excellent and immediate opening for a Receptionist/Office Assistant at the Huntington Convention Center of Cleveland and Global Center for Health Innovation. This position will be responsible for performing the following duties:

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answers incoming telephone calls and determines purpose of caller
  • Answers questions about organization and provides callers with address, directions, information about events at the facility and routes calls to appropriate personnel or department
  • Retrieves messages from voice mail periodically throughout the day and forwards to appropriate personnel; returns call as needed
  • Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable
  • Reviews website inquires and either responds accordingly or forwards to appropriate personnel or department
  • Welcomes on-site visitors, determines nature of business, announces visitors to appropriate personnel, directs visitors as needed
  • Receives and sorts incoming mail, maintains and routes publications, coordinates pick-up for outgoing mail
  • Updates deposit and receipt log for finance
  • Manages and maintains office equipment by setting up new users, assisting users providing or scheduling service, retrieves and routes incoming faxes
  • Manages and maintains Administrative Office/mezzanine level boardroom
  • Manages and maintains Administrative Office/mezzanine level kitchen/employee breakroom
  • Orders, receives and maintains office supplies
  • Performs other clerical duties as assigned, such as filing, typing, photocopying, assist in putting together New Employee Orientation packets
  • Assists Executive Assistant with booking internal meetings or running basic reports in the Event Booking Management System (EBMS) as assigned
  • Covers or fills in for Executive Assistant as necessary
  • Other duties may be assigned

QUALIFICATIONS

High School Diploma or GED

  • 1-2 years related experience in a corporate environment preferred
  • Excellent oral, written and interpersonal skills
  • Detail oriented and the ability to multi-task
  • Ability to work and function both independently and in a team environment
  • Proficient in Microsoft Outlook and Word; working knowledge in Excel

  • Possess professional presentation, appearance and work ethic
