Robert Half Finance & Accounting Divisional Assistant in CLEVELAND, Ohio

The key responsibilities of the role will include, but are not limited to:

  • Create and format high quality documentation including PowerPoint presentations, reports, letters / correspondence.

  • Provide diary management support as required including organizing meetings and events with external parties, clients, and internal staff; booking and setting up meeting rooms and venues, arranging catering as required.

  • Assist with preparation for client meetings, presentations and visits.

  • Reconcile monthly expenses and corporate credit card as needed.

  • Organize domestic business travel arrangements as required.

  • Coordination of international travel arrangements including organizing foreign currency, travel packs, visas, transfers, etc..

  • Communicating with various internal and external stakeholders on the team's behalf, as required.

  • Anticipate assistance required by the team and prioritize work tasks to meet their needs and organizational goals.

  • Maintain accurate contacts and file records in QIC systems/databases.

  • Provide general administration support for the team, including but not limited to: answering phone calls and taking messages, printing, scanning, photocopying, binding, arranging couriers, daily mail distribution.

  • Monitor and coordinate team requirements - office supplies, consumables, building services, technology, equipment servicing and maintenance.

  • Process invoices for the team as and when required.

  • Provide general administration assistance to visitors and other staff from other offices (IT, secretarial, room preparation, catering).

  • Assist others with the use of office equipment and provide general office orientation, including to new starters.

  • Act as the SharePoint/Office Connect champion for the team including assisting with queries, transition/reorganizing of documents, training/support/ongoing maintenance and electronic filing.

  • 3+ years executive/personal assistant experience supporting an Executive or Senior Management in a similar industry or professional services environment

  • Exceptional time management, attention to detail, and organizational skills

  • Ability to prioritize and work autonomously

  • Exceptional problem-solving and decision-making skills

  • High level verbal and written skills

  • Ability to engage and build relationships at all levels – executives, managers, employees, and internal clients

  • Intermediate skills in the Microsoft suite – Word, Outlook, PowerPoint and Excel

  • Experience in Adobe Creative Suite (Illustrator, Photoshop, InDesign)

  • Typing speed of at least 60 words per minute

  • Ability to be flexible with working hours when required
